Beginner's workbook · Rwizi Fresh Supermarket, Mbarara
Learn Tally.ERP 9 by running a real supermarket for one month.
You will not read about accounting software. You will open the Gateway of Tally, create a company, build a chart of accounts, buy 120 jerricans of cooking oil from Mukwano on credit, ring up till sales, handle a customer return, bank the takings, and print a balance sheet that actually balances. Every screen below is a working recreation of the Tally.ERP 9 interface, so you can click through the menus before you touch the real thing.
Keep Tally.ERP 9 open on one side of your screen and this page on the other. Do not read ahead. Each module ends with a five question evaluation that marks itself the moment you choose an answer, and tells you why the right answer is right. Answer it before you move on, and tick the module checkbox only after you have done the work in the real software. The blue screens here are practice; the marks in your own books are the point.
The supermarket you will run
Meet the client · the month you will record · what you will produce
Everything in this workbook happens inside one business. Learning Tally with invented numbers is how most people fail at it. Learning with a shop you can picture, on a street you know, is how it sticks.
The client
Mr. Julius Tumusiime has been trading in Mbarara for eleven years. In July 2025 he opens a new self service supermarket on High Street, two doors from the taxi stage. Until now his records lived in a hardcover book and on the back of delivery notes. His bank wants monthly accounts, URA wants a VAT return by the fifteenth of every month, and he has just hired a cashier he barely knows. So he buys Tally.
| Trading name | Rwizi Fresh Supermarket Ltd |
| Address | Plot 24 High Street, Mbarara City, Uganda |
| Owner | Julius Tumusiime, sole director |
| TIN | 1000456789 (VAT registered, standard rate 18%) |
| Financial year | 1 July 2025 to 30 June 2026 |
| Books begin | 1 July 2025, the day the shutters first go up |
| Banks | Stanbic Bank, Mbarara branch · MTN Mobile Money float line |
| Staff | One cashier, one shelf attendant, one storekeeper |
| Storage | Main Store at the back, Shop Floor shelves in front |
The three products you will trade
A real supermarket carries four thousand lines. You will carry three, because three is enough to learn every rule and few enough to check by hand. Add the rest once you trust yourself.
| Item | Supplier | Unit | Cost (excl. VAT) | Selling (excl. VAT) | Margin |
|---|---|---|---|---|---|
| Mukwano Cooking Oil 20L | Mukwano Industries Ltd | Jerrican | 88,000 | 105,000 | 17,000 |
| White Star Soap 1kg | Mukwano Industries Ltd | Bar | 4,500 | 5,500 | 1,000 |
| Coca-Cola 500ml | Century Bottling Co. Ltd | Crate of 24 | 24,000 | 28,000 | 4,000 |
Supermarket margins in Uganda are thin on fast moving staples. Cooking oil at roughly nineteen percent and soda at seventeen percent over cost is normal. The money is made on volume and on the shelf turning over, which is exactly what the Stock Summary report will show you in Module 09.
What July looks like
Eighteen transactions, spread over the first two weeks of trading plus one month end adjustment. You will enter every one of them.

A trial balance that agrees at UGX 75,398,720, a gross profit of UGX 2,433,000, a net profit of UGX 383,000, closing stock of UGX 3,529,000, and a VAT position you can carry to the URA portal. If your figures do not match those, Module 11 tells you where to look.
What Tally is, and how to read the screen
Versions · starting up · the Gateway of Tally · moving without a mouse
Tally is a bookkeeping and inventory program built around one idea: you type a transaction once, as a voucher, and every report in the system updates the instant you press Enter. There is no posting run, no month end rebuild, no separate stock system to reconcile. That single design choice is why a shop in Mbarara and a distributor in Kampala can both run on it.
Which version am I looking at?
Tally.ERP 9 is the release most Ugandan businesses still run, usually Release 6.x. Its successor, TallyPrime, arrived in 2020 and moved the menus around, but the accounting logic, the group structure and the voucher types are the same. Learn ERP 9 properly and you can sit down at TallyPrime and be productive in an hour. Check yours from the top right of the screen or press Ctrl + Alt + B for the build number.
Starting up
Double click the Tally icon. If a company already exists on the machine you land on the Gateway of Tally. If none exists, Tally opens the Company Info menu and waits for you to create one, which is Module 02. Educational mode runs without a licence but restricts you to the first, second and last day of a month, so for this workbook use a licensed or trial install if you can.
Anatomy of the Gateway
Click each numbered marker on the screen below. Everything you will ever do in Tally starts from this one screen, so spend a minute here.
Moving around without touching the mouse
Tally was built for speed by people who never lift their hands from the keyboard, and it still rewards that. A cashier who navigates by mouse will be half as fast as one who does not.
| Key | What it does | Where you will feel it |
|---|---|---|
| ↑ ↓ | Moves the blue highlight bar up and down a menu or a list | Every menu, every list of ledgers |
| Enter | Opens the highlighted item, or accepts the field you are in | Everywhere |
| The red letter | Jumps straight to that menu item. Press S on the Gateway and the Balance Sheet opens | Every menu |
| Esc | Goes back one level, or clears the field you are typing in | Your escape hatch, always |
| Ctrl + A | Accepts and saves the whole screen at once, without tabbing to the end | Saves you thousands of keystrokes a month |
| Ctrl + Q | Abandons the screen without saving | When you started the wrong voucher |
Tally asks Accept? at the bottom of a screen and the default answer is Yes. People press Enter to move to the next field, overshoot, and save a half finished master. If you are unsure, press Esc and start again. Nothing is saved until you accept.
Walk the menus yourself
The simulator below behaves like the real thing. Click a menu item to go in, use the Esc button to come back out. Get the paths into your fingers now and Modules 03 to 08 will feel like revision.
Creating the company
Alt+F3 · every field explained · the two dates that trip everyone up
In Tally a company is one set of books. It is not a legal concept. If Mr. Tumusiime later opens a hardware shop, that is a second company in Tally even though it is the same man and the same TIN. Everything you build from here lives inside the company you are about to create.
From the Gateway of Tally press Alt + F3 to open Company Info, then choose Create Company. If Tally started with no company at all, this menu appears on its own.
Screen · Company Info menu (Alt+F3)

Screen · Company Creation
Mbarara City
Field by field
| Field | What to put, and why |
|---|---|
| Directory | The folder on disk where this company's data files will live. Accept the default unless your organisation keeps data on a server or a shared drive. Write this path down. When you need to restore a backup, or when a technician asks where the data is, this is the answer. |
| Name | How the company appears in Tally's own lists. Use the full registered name so that two similar companies never get confused at the Select Company screen. |
| Mailing Name | What prints at the top of invoices and reports. Usually the same as Name. If the shop trades as "Rwizi Fresh" but is registered as something longer, the registered name belongs on the tax invoice. |
| Address | Prints on invoices and statements. Put the physical address a customer or URA officer could walk to. |
| Country | Select Uganda. This sets the date format and removes the India specific statutory menus you do not need. See the note below about what it does not give you. |
| State, Pincode | Tally shows these for countries with state level tax. For Uganda leave them as Not Applicable. |
| Financial Year begins from | The first day of the accounting year. For Uganda that is normally 1 July, matching the national fiscal year. Tally uses this to decide which twelve months a report covers. |
| Books beginning from | The first day you will actually enter transactions. It is the same as the financial year start for a new business. It differs when you move onto Tally part way through a year, for example a year starting 1 July 2025 but books beginning 1 January 2026, with opening balances brought in at that date. |
| TallyVault Password | Encrypts the entire data folder. Leave it blank while learning. In production, understand this first: there is no recovery. Lose the TallyVault password and the books are gone permanently. |
| Use Security Control | Turns on named users with different rights. Set it to No now and switch it on in Module 10, once you know what a cashier should and should not be allowed to touch. |
| Base Currency Symbol | Type USh. Tally prints this against every amount. Some accountants prefer UGX for documents that leave the country; both are acceptable, so pick one and keep it. |
| Decimal places | Two. Shillings have no circulating subunit any more, but keeping two decimals prevents rounding drift when VAT is calculated on hundreds of invoice lines. |
Setting Books beginning from to today's date instead of the start of the year is the most common creation error. Tally will then refuse every voucher dated before today, and beginners think the software is broken. If it happens, you do not need to start over: press Alt + F3, choose Alter, and correct the date.
Choosing Uganda sets your locale, but Tally.ERP 9 does not ship a Uganda VAT statutory module the way it does for India or Kenya. You will not find a Uganda VAT return in F11 > Statutory & Taxation. That is not a problem. In Module 03 you will build VAT ledgers under Duties & Taxes yourself, and they will compute VAT on invoices automatically and give you the two figures the URA return needs. Thousands of Ugandan businesses run exactly this way.
Separately, VAT registered taxpayers must issue invoices and receipts through URA's EFRIS platform. Tally.ERP 9 has no built in EFRIS link, so shops either key the sale into EFRIS as well, use a certified third party integration, or use a point of sale system that talks to EFRIS and post daily summaries into Tally. Module 07 shows how to keep the fiscal document number tied to the Tally voucher.
After you accept
Tally saves the company and drops you at the Gateway of Tally with the new name showing in the top right panel. Two ledgers already exist, created automatically: Cash and Profit & Loss A/c. You never create those two.
Practice · create a second company on your own
Create a company called Kakoba Mini Mart, Plot 7 Kakoba Road Mbarara, financial year beginning 1 July 2025, books beginning 1 September 2025, currency USh. Then switch between the two using F1 Select Company, and shut one with Alt + F1. Being able to move between companies confidently matters more than it sounds: the single worst Tally accident is entering a month of vouchers into the wrong company.
Delete it afterwards from Alt + F3 > Alter, then Alt + D. Tally asks twice, because deletion is permanent.
Groups and ledgers: the chart of accounts
28 predefined groups · what a ledger really is · building the supermarket's books
Every amount in Tally lands in a ledger. Every ledger sits under a group. The group decides where the ledger appears in the Balance Sheet or the Profit and Loss, so choosing the group correctly is the single most important decision in the whole system. Everything downstream, every report, every ratio, follows from it.
Put it plainly. Mukwano Industries Ltd is a ledger. It sits under Sundry Creditors, which sits under Current Liabilities. So when you owe Mukwano money, it shows on the liabilities side of the balance sheet without you telling Tally anything more.
The 28 groups Tally gives you
Fifteen primary groups and thirteen subgroups. You will rarely need to create your own. Learn where things go instead.
| Primary group | Subgroups | Typical Rwizi Fresh ledgers |
|---|---|---|
| Capital Account | Reserves & Surplus | Tumusiime Capital A/c, Retained Earnings, Drawings |
| Current Assets | Bank Accounts · Cash-in-Hand · Deposits (Asset) · Loans & Advances (Asset) · Stock-in-Hand · Sundry Debtors | Stanbic Bank, MTN Mobile Money Float, Cash, Lake View Hotel, Staff Advances, Rent Deposit |
| Current Liabilities | Duties & Taxes · Provisions · Sundry Creditors | VAT Payable, VAT Claimable, PAYE Payable, NSSF Payable, Mukwano Industries Ltd |
| Fixed Assets | none | Shop Fittings & Equipment, Delivery Van, Cold Room |
| Investments | none | Fixed deposit, shares in a SACCO |
| Loans (Liability) | Bank OD A/c · Secured Loans · Unsecured Loans | Stanbic overdraft, Centenary Bank term loan, loan from a relative |
| Sales Accounts | none | Sales A/c, Sales Returns (if kept separately) |
| Purchase Accounts | none | Purchases A/c |
| Direct Expenses | none | Carriage inwards, offloading, clearing costs on stock |
| Direct Incomes | none | Shelf listing fees charged to suppliers |
| Indirect Expenses | none | Rent, Electricity (UMEME), Water (NWSC), Salaries, Depreciation, Trading Licence |
| Indirect Incomes | none | Bank interest received, scrap sales, till overs |
| Misc. Expenses (ASSET) | none | Preliminary expenses being written off over years |
| Suspense A/c | none | Amounts you cannot classify yet. Empty it before month end |
| Branch / Divisions | none | A second shop kept as a separate account |
Direct means it changes the cost of getting goods onto your shelf. The lorry that brings oil from Kampala is a direct expense and belongs above gross profit. Indirect means it runs the shop regardless of what you sold. Rent, UMEME and the cashier's salary are indirect and sit below gross profit. Put rent in Direct Expenses and your gross profit percentage becomes meaningless, which matters because that percentage is the number that tells Mr. Tumusiime whether his pricing works.
Creating a ledger
Path: Gateway of Tally > Accounts Info. > Ledgers > Create
Tally offers Single Ledger and Multiple Ledgers. Use Single for the first few so you see every field. Use Multiple later to type twelve expense ledgers in one screen, which is far quicker.
Screen · Ledger Creation, creating Mukwano Industries Ltd
Maintain balances bill-by-bill is worth switching on for every customer and supplier. It makes Tally track each invoice separately rather than as one running total, which is what lets you answer the question every shop owner asks: which invoices are overdue, and by how many days.
The full chart of accounts for Rwizi Fresh
Create these seventeen ledgers now. Cash and Profit & Loss A/c already exist, so do not create them again.
| Ledger name | Under (group) | Notes |
|---|---|---|
| Tumusiime Capital A/c | Capital Account | The owner's money in the business |
| Stanbic Bank A/c 9030001234 | Bank Accounts | Put the account number in the name; it saves time at reconciliation |
| MTN Mobile Money Float | Bank Accounts | Treat the merchant float like a bank account, because it behaves like one |
| Shop Fittings & Equipment | Fixed Assets | Shelving, chest freezers, the till counter |
| Mukwano Industries Ltd | Sundry Creditors | Bill-by-bill Yes, credit period 30 days |
| Century Bottling Co. Ltd | Sundry Creditors | Bill-by-bill Yes, cash terms |
| Lake View Hotel Mbarara | Sundry Debtors | Bill-by-bill Yes, credit period 14 days |
| Sales A/c | Sales Accounts | Inventory values are affected: Yes |
| Purchases A/c | Purchase Accounts | Inventory values are affected: Yes |
| VAT Payable (Output 18%) | Duties & Taxes | Type of duty/tax: Others · Percentage: 18% · Method: On Total Sales |
| VAT Claimable (Input 18%) | Duties & Taxes | Type of duty/tax: Others · Percentage: 18% · Method: On Total Sales |
| Rent | Indirect Expenses | Shop rent to the landlord |
| Electricity (UMEME) | Indirect Expenses | Yaka tokens and postpaid bills both land here |
| Depreciation | Indirect Expenses | Charged monthly by journal |
| Wages & Salaries | Indirect Expenses | Gross pay before PAYE and NSSF |
| PAYE Payable | Duties & Taxes | Deducted from staff, owed to URA |
| NSSF Payable | Current Liabilities | Employee 5% plus employer 10% |
Use Accounts Info. > Ledgers > Create (under Multiple Ledgers), set Under Group to "All Items", and type name and group down the grid. Seventeen ledgers takes about four minutes this way. Come back with Single > Alter afterwards to add the bill-by-bill and VAT settings, which Multiple mode does not show.
Setting up the two VAT ledgers properly
These two do the arithmetic for you, so get them right. When you create VAT Payable (Output 18%) under Duties & Taxes, Tally opens three extra fields:
- Type of duty/tax: Others. Uganda VAT is not one of Tally's built in statutory types, and Others behaves exactly as you need.
- Percentage of calculation: 18%.
- Method of calculation: On Total Sales. This tells Tally to apply 18% to the value of the goods on the invoice.
Repeat for VAT Claimable (Input 18%). From then on, when you add the VAT ledger to a sales or purchase invoice, Tally fills the amount in by itself.
Drill · which group does it go under?
Nine ledgers a supermarket really uses. Pick the group for each. This is the skill that separates people who can use Tally from people who can only type into it.
Stock masters: units, groups, items
Inventory Info · compound units · batches and expiry for perishables
A supermarket without inventory in Tally is a supermarket that cannot tell you what is on the shelf, what is expiring, or what the shrinkage was. Build the stock masters in this order, because each one depends on the one before it: Units of Measure, then Stock Groups, then Godowns, then Stock Items.
Step 1 · Units of Measure
Path: Gateway of Tally > Inventory Info. > Units of Measure > Create
A simple unit is a single thing you count. Create these four:
| Symbol | Formal name | Decimal places |
|---|---|---|
| Jrc | Jerrican | 0 |
| Bar | Bar | 0 |
| Btl | Bottle | 0 |
| Crt | Crate | 0 |
A compound unit is one unit expressed in another, and it is the feature supermarkets need most. Soda arrives in crates and sometimes sells as single bottles. Set the unit type to Compound and define:
Screen · Unit Creation, compound unit
Now Tally understands that one crate is twenty four bottles. Sell eighteen bottles and it will report the balance as 0 Crt 6 Btl, not as a fraction of a crate. Ask any shopkeeper which of those two he can act on.
Step 2 · Stock Groups
Path: Inventory Info. > Stock Groups > Create. Stock groups organise the Stock Summary the way groups organise the balance sheet. Create four, all under Primary:
- Groceries, oil, sugar, rice, flour, salt
- Beverages, sodas, water, juice
- Household & Toiletries, soap, detergent, tissue
- Fresh & Perishables, milk, bread, yoghurt
Set Can quantities of items be ADDED? to Yes only where the items share a unit. Groceries hold jerricans and kilograms together, so answer No there and Tally will stop reporting a meaningless total.
Step 3 · Godowns
Path: Inventory Info. > Godowns > Create. Tally starts with one called Main Location. Rename it or add two more, because a supermarket physically holds stock in two places and the difference matters when goods disappear:
- Main Store, the locked back room where deliveries land
- Shop Floor, the shelves customers reach
Module 08 moves stock between them and explains why the storekeeper should sign for it.
Step 4 · Stock Items
Path: Inventory Info. > Stock Items > Create. This is where the shelf becomes data.
Screen · Stock Item Creation
| Name | Under | Unit | Batches | Std cost | Std selling |
|---|---|---|---|---|---|
| Mukwano Cooking Oil 20L | Groceries | Jrc | No | 88,000 | 105,000 |
| White Star Soap 1kg | Household & Toiletries | Bar | No | 4,500 | 5,500 |
| Coca-Cola 500ml | Beverages | Crt of 24 Btl | No | 24,000 | 28,000 |
Standard rates live behind F12 Configure > Allow Standard Rates for Stock Items. Switch it on and Tally will suggest the selling price during invoicing, so a new cashier cannot invent a price at the till.
Costing method, in one paragraph
Avg. Cost smooths the cost of every purchase into one weighted average, which suits a supermarket buying the same oil repeatedly at drifting prices. FIFO assumes the oldest stock sells first and gives a truer closing value when prices move sharply. Last Purchase Cost values everything at the most recent price, which flatters profit when prices are falling and destroys it when they rise. This workbook uses Avg. Cost throughout, and because you buy each item only once in July, the closing values are identical under all three.
Perishables: batches and expiry dates
Now the feature that pays for the software. Bread, milk and yoghurt expire, and a supermarket that cannot see expiry dates loses money quietly. Switch on F11 > Inventory Features > Maintain Batch-wise Details and Set Expiry Dates for Batches, then create a fourth item:
| Field | Value |
|---|---|
| Name | Fresh Dairy Milk 500ml |
| Under | Fresh & Perishables |
| Units | Pkt |
| Maintain in Batches? | Yes |
| Track Date of Manufacturing? | Yes |
| Use Expiry Dates? | Yes |
From then on every purchase of milk asks for a batch name, a manufacturing date and an expiry date. Then Display > Inventory Books > Batch Summary shows you, on any morning, which batches expire this week. That report, printed and handed to the shop floor supervisor, is worth more to Mr. Tumusiime than the balance sheet.
Not everything on a Ugandan supermarket shelf carries 18%. Unprocessed foodstuffs such as fresh matooke, beans, maize and unprocessed milk are exempt supplies, while processed and packaged goods are standard rated. If you stock both, create separate stock groups for standard rated and exempt lines, and use a separate sales ledger for exempt sales. Mixing them into one Sales A/c means your VAT return will overstate output tax, and correcting that after filing is far more work than setting it up properly today. Confirm the current exempt list with URA before you classify.
F11 Features and F12 Configuration
The difference between them · exactly what to switch on for this shop
New users confuse these two constantly, so learn the distinction once and never worry again.
F11 Features changes what this company can do. It affects only the company that is open, it is stored in the data, and switching something on adds fields and menus across the whole system.
F12 Configuration changes how you see and enter things. It affects the Tally installation on this computer, not the company, and it is mostly about display, printing and how many questions a data entry screen asks you.
In short: F11 is the shop's policy, F12 is your workstation's preference.
F11 · Accounting Features
Press F11 from the Gateway, then choose Accounting Features. Set these:
| Setting | Set to | Why, for Rwizi Fresh |
|---|---|---|
| Maintain Bill-wise Details | Yes | Tracks each invoice to Lake View Hotel separately, so you can chase the overdue one |
| (for Non-Trading A/cs also) | No | Not needed here |
| Activate Interest Calculation | No | Only if you charge customers interest on late payment |
| Maintain Cost Centres | No | Switch to Yes when the second branch opens and you want profit per branch |
| Use Multiple Mailing Details | No | One address for now |
| Enable Cheque Printing | Yes | Useful once you pay suppliers by cheque regularly |
| Allow Invoicing | Yes | Without this you cannot raise a proper sales invoice with items and VAT |
| Enter Purchases in Invoice Format | Yes | Lets you type a supplier's invoice exactly as it appears on paper |
| Use Debit / Credit Notes | Yes | Required for the Lake View return on 10 July |
| Use Invoice mode for Credit Notes | Yes | So returns put the goods back on the shelf, not just the money back |
F11 · Inventory Features
| Setting | Set to | Why |
|---|---|---|
| Integrate Accounts and Inventory | Yes | The most important switch in the system. See the warning below |
| Maintain Stock Categories | Yes | Optional second axis, for example Local versus Imported |
| Maintain Multiple Godowns | Yes | Main Store and Shop Floor |
| Maintain Batch-wise Details | Yes | For milk, bread and yoghurt |
| Set Expiry Dates for Batches | Yes | The report that saves money on perishables |
| Use Tracking Numbers (Delivery / Receipt Notes) | Yes | Lets goods arrive before the supplier's invoice does, which is normal |
| Use Rejection Inward / Outward Notes | No | Rarely needed in retail |
| Separate Discount column on Invoices | Yes | Promotions and trade discounts print properly |
| Allow Zero valued entries | No | Keep it off so a mistyped zero price is caught |
Set to Yes, Tally values your closing stock from the actual item movements and pushes that figure straight into the Trading Account and Balance Sheet. Your gross profit is then computed from real stock records.
Set to No, Tally ignores the inventory records for accounting purposes and instead asks you to type a closing stock figure yourself. Some accountants do this deliberately when the stock records are not trusted. If you leave it on No by accident, your Balance Sheet will show no closing stock at all and your gross profit will look catastrophic. For this workbook it must be Yes.
F12 · The configuration settings worth changing
| Where | Setting | Effect |
|---|---|---|
| Accts / Inventory Info. | Allow ALIASES along with Names | Lets you type "OIL20" and have Tally find the oil. Cashiers love this |
| Accts / Inventory Info. | Allow Standard Rates for Stock Items | Selling price appears automatically during invoicing |
| Voucher Entry | Warn on Negative Cash Balance | Yes. Tally then shouts when the till is about to go below zero, which is impossible in real life and always means an error |
| Voucher Entry | Use Common Narration | Yes. One narration for the whole voucher instead of one per line |
| Voucher Entry | Show Ledger Current Balances | Yes. You see the running balance as you type, and catch mistakes early |
| Voucher Entry | Allow Cash Accounts in Journals | No. Cash belongs in Payment, Receipt or Contra vouchers |
| Invoice / Orders Entry | Accept Supplementary Details | Yes, if you need despatch and delivery note details on the invoice |
| Printing | Print Company Logo | Puts the Rwizi Fresh logo on invoices. Use a small monochrome image |
F12 is context sensitive. Pressing it at the Gateway gives the general list. Pressing it while a sales voucher is open gives you the settings for sales vouchers only, which is usually the ones you actually wanted. If a setting seems missing, open the screen it belongs to first, then press F12.
Vouchers: recording the first week
The eight voucher types · debit and credit · entries 1 to 6 keyed step by step
A voucher is one transaction. Money in, money out, goods in, goods out, or an adjustment. Choose the right voucher type and Tally does most of the thinking; choose the wrong one and you will fight the software all day.
Path: Gateway of Tally > Accounting Vouchers
| Key | Voucher | Use it when | Rwizi Fresh example |
|---|---|---|---|
| F4 | Contra | Money moves between your own cash and bank accounts. No income, no expense | Drawing a till float from Stanbic; banking the day's takings |
| F5 | Payment | Money leaves the business | Rent, UMEME, paying Mukwano |
| F6 | Receipt | Money comes into the business | Capital introduced; Lake View settling its bill |
| F7 | Journal | An adjustment with no cash and no stock movement | Depreciation, writing off a bad debt, correcting a posting |
| F8 | Sales | You sell goods, cash or credit | Till sales; the Lake View credit sale |
| F9 | Purchase | You buy goods for resale | Oil and soap from Mukwano |
| Ctrl+F8 | Credit Note | A customer returns goods, or you overcharged | Lake View returns six jerricans |
| Ctrl+F9 | Debit Note | You return goods to a supplier | Sending back leaking jerricans |
Purchase (F9) is for goods you intend to resell. The twelve million shillings of shelving and freezers is a Payment voucher debiting a fixed asset, because you are not going to sell the freezer. Getting this wrong inflates purchases, destroys gross profit, and understates assets. It is the most frequent error in small business Tally files.
Debit and credit, quickly
You need this or nothing below will make sense. Two lines, memorised:
Debit what comes in, what you own, and what you spend. Credit what goes out, what you owe, and what you earn.
So: cash arrives in the till, debit Cash. You owe Mukwano, credit Mukwano. You earned the sale, credit Sales. You paid rent, debit Rent. Every voucher has equal debits and credits, always.
Drill · which voucher type?
Entry 1 · Capital introduced, 1 July, UGX 50,000,000
Mr. Tumusiime transfers his own money into the company's Stanbic account. Money comes in, so it is a Receipt. Press F6. Set the date first with F2, because Tally defaults to today and a voucher dated wrongly is a headache to find later.

If a ledger you need does not exist yet, press Alt + C while the cursor is in the field. Tally opens a creation screen, you fill it, accept, and land back exactly where you were. The same works for stock items inside an invoice. This one shortcut is why experienced users never stop to prepare masters in advance.

Tally will ask for cheque details if you enabled bank allocations. Fill them in. Six months later, when the bank statement does not agree, those details are the only way to find the difference quickly.
Entry 3 · July rent, UGX 1,500,000
Also a Payment. Debit Rent, credit Stanbic Bank.
A designated withholding agent paying rent to a resident landlord normally deducts withholding tax and remits it to URA, paying the landlord the net. If Rwizi Fresh were a designated agent, this voucher would become three lines: debit Rent 1,500,000, credit WHT Payable with the deducted portion, credit Stanbic with the balance. This workbook keeps it as a simple two line payment so the arithmetic stays checkable, but in a real file you would create a WHT Payable ledger under Duties & Taxes and check the current rate and agent status with URA.
Entry 4 · Till float drawn from the bank, UGX 4,000,000
Money moved from your bank to your own till. Nothing was earned or spent. That is a Contra, F4.

Being goods received on 30 day credit, delivery note DN-8823
Notice what happened when you added the VAT Claimable line. You typed nothing in the amount column. Because the ledger was created under Duties & Taxes at 18% on total sales, Tally worked out 18% of 13,260,000 by itself. That is the payoff for setting the ledgers up properly in Module 03.
Behind the scenes this one screen posts a four line double entry:
| Dr/Cr | Ledger | Amount |
|---|---|---|
| Dr | Purchases A/c | 13,260,000.00 |
| Dr | VAT Claimable (Input 18%) | 2,386,800.00 |
| Cr | Mukwano Industries Ltd | 15,646,800.00 |
And at the same moment 120 jerricans and 600 bars land in the Main Store, valued at cost. One entry, both books.
Because Mukwano has bill-by-bill turned on, Tally opens a small allocation panel before it lets you save. Choose New Ref and name it after the supplier's invoice, MKW/2025/4471. Do not accept the default of Advance or On Account. If you do, the payment on 10 July will not match against this invoice and your creditors ageing report becomes fiction.
Entry 6 · Cash purchase from Century Bottling, UGX 3,398,400
Same F9 Purchase voucher, but the party is paid immediately. Set Party A/c Name to Cash, or keep the supplier as the party and add a second Payment voucher settling it the same day. The first is faster; the second gives you a supplier history. For a regular supplier like Century Bottling, use the second.

Entry 11 shows why the mobile money float deserves its own ledger. Paying UMEME from "Cash" when the money actually left the MoMo line means the till will never reconcile at close of business, and the cashier will be blamed for a shortage that does not exist.

A supermarket does not raise an invoice for every shopper. It rings up hundreds of small sales at the till and posts one consolidated sales voucher per day, per till, taken from the Z reading at close of business. Party A/c Name is Cash.

Being six jerricans returned, seals broken in transit, GRN-R/0002
Three things happened at once, which is the whole argument for using invoice mode on credit notes. Sales fell by 630,000. Output VAT fell by 113,400. And six jerricans came back into the Main Store, so your stock figure is right again.
Uganda VAT, and how Tally gives you the return
The standard rate is 18%. You charge it on sales (output tax), you pay it on purchases (input tax), and you remit the difference to URA. VAT is not your money and it is not your income; it passes through the business.
To take VAT out of a gross figure, divide by 1.18. To add it, multiply by 0.18. Cashiers who learn to divide by 1.18 in their head stop making the classic error of charging 18% on a price that already includes it.
Rwizi Fresh, July 2025
| Line | Goods value | VAT |
|---|---|---|
| Sales, four till days plus the Lake View invoice | 15,674,000 | 2,821,320 |
| Less credit note, 10 July | (630,000) | (113,400) |
| Output VAT for the month | 15,044,000 | 2,707,920 |
| Purchases from Mukwano and Century Bottling | 16,140,000 | 2,905,200 |
| Input VAT for the month | 16,140,000 | 2,905,200 |
| Net position: input exceeds output, so a credit carried forward | 197,280 Cr |
Rwizi Fresh owes URA nothing this month. It has a credit of 197,280 because it stocked the shop heavily before it had sold much, which is exactly what a new supermarket does. The return must still be filed. From August, as sales overtake restocking, the position will flip to a payment.
You do not add these figures up by hand. In Tally:
- Display > Account Books > Ledger > VAT Payable (Output 18%) gives the output tax total for the period.
- Display > Account Books > Ledger > VAT Claimable (Input 18%) gives the input tax.
- Change the period with Alt + F2 to 1-Jul-2025 to 31-Jul-2025 first, or you will be reading the whole year.
- Export either with Alt + E to Excel and keep it beside the filed return as your working paper.
- VAT returns are filed monthly on the URA portal, by the fifteenth day of the following month. July's return is due by 15 August.
- VAT registered taxpayers must issue invoices and receipts through EFRIS. Input tax is only claimable where the purchase is supported by an e-invoice or e-receipt, so a supplier who cannot give you one is costing you 18%.
- Tally.ERP 9 has no built in EFRIS connection. Put the EFRIS invoice or receipt number in the Tally voucher narration or reference field, as the screens above do. When URA asks, you can tie the two systems together in seconds instead of days.
- The registration threshold rose from UGX 150 million with effect from 1 July 2026. Reporting on the final enacted figure has differed, with some sources stating UGX 250 million and others UGX 300 million, so confirm the current number directly with URA before advising anyone to register or deregister.
Godowns, stock movement and shrinkage
Stock journal · physical stock · why the shop floor count never matches
Accounting vouchers move money. Inventory vouchers move goods without any money changing hands, and a supermarket needs them constantly.
Path: Gateway of Tally > Inventory Vouchers

Moving stock from the store to the shelf
Every morning the storekeeper carries goods from the Main Store to the Shop Floor. That is a Stock Journal, transfer type, with a source and a destination. It changes no ledger balance at all, and it is the entry that makes theft visible.

Being morning transfer to shop floor, signed by storekeeper A. Kyomuhendo
Once transfers are recorded, Tally can tell you the closing quantity in each godown separately. If the Main Store agrees with the physical count but the Shop Floor is short by fourteen bars of soap, you have narrowed the loss to the shop floor and to the hours a specific shift was on duty. Without godowns you only know the shop as a whole is short, which tells you nothing you can act on.
Physical stock and the shrinkage entry
At the end of the month the team counts the shelves. Suppose the count shows 49 bars of soap where Tally says 50. That one bar is shrinkage: theft, breakage, or a keying error. Record what is really there with a Physical Stock voucher, Alt + F10, and Tally adjusts the book quantity to match the count.
A physical stock adjustment changes your closing stock value, and therefore your gross profit and your balance sheet. If you post one into the Rwizi Fresh file now, your figures will no longer agree with the answer key in Module 12. Practise it, then delete the voucher with Alt + D before you move on.
Shrinkage above roughly one to two percent of sales is a signal, not an accounting problem. In a Ugandan supermarket the usual causes are, in order: goods leaving through the back door, cashiers not scanning items for people they know, breakage nobody reported, and receiving short deliveries without checking the lorry. Tally will show you the number. Only management can fix the cause.

It is deliberately not here. Because you integrated accounts and inventory, closing stock is computed from the item records rather than posted as a ledger balance, so it appears in the Balance Sheet and the Trading Account but not in the Trial Balance. A trial balance that agrees without closing stock is normal in Tally, and students who learned manual bookkeeping often waste an hour looking for it.

Oil shows 126 inwards because the 120 purchased were joined by the 6 that Lake View returned. And look at the soda: two crates left. That is the report the shop should read every morning, because a supermarket with an empty soda shelf on a Saturday loses the whole basket, not just the drink.

Read it as a shopkeeper, not an accountant. Goods that cost 12,611,000 were sold for 15,044,000, so the shop made 2,433,000 on the trading itself, about sixteen shillings on every hundred. Running the place for the month cost 2,050,000. What is left, 383,000, is the profit. On a first fortnight of trading against a full month of rent, that is a respectable result, and it tells Mr. Tumusiime his margins can carry his overheads.

Duties & Taxes shows in brackets because input VAT exceeds output VAT. A negative liability is really an asset, the 197,280 URA owes the business, and Tally is honest enough to show it on the side where the group belongs rather than quietly moving it.
Ratio Analysis

| Ratio | Rwizi Fresh | What it says |
|---|---|---|
| Working Capital | 38,483,000 | Current assets less current liabilities. Plenty of room |
| Current Ratio | 6.17 : 1 | Short term assets cover short term debts six times over. Comfortable, arguably too much cash sitting idle |
| Quick Ratio | 5.69 : 1 | Even ignoring stock, the shop can pay everyone it owes |
| Gross Profit % | 16.17% | Sixteen shillings gross on every hundred sold. Typical for staples, thin for a supermarket that wants to grow |
| Nett Profit % | 2.55% | After overheads. Watch this monthly; it is the number that decides whether to open a second branch |
| Operating Cost % | 97.45% | Almost every shilling of sales goes back out. Normal in retail, and the reason volume matters |
| Receivables Turnover | 2 days | Only Lake View buys on credit, and it paid quickly |
| Debt / Equity | 0.00 | No borrowing at all. The bank will lend against this |
The two reports that get a shop paid
- Display > Statements of Accounts > Outstandings > Receivables shows every unpaid customer invoice with its age in days. Lake View's balance of 1,163,040 appears here against invoice RFS/INV/0009.
- ... > Outstandings > Payables does the same for what you owe. Mukwano's remaining 7,646,800 sits here with its due date, and Tally will flag it once it passes thirty days.
Press F6 on either report for the ageing analysis, then Alt + P to print. A supermarket that reviews these two reports every Monday morning collects faster and never gets a surprise supplier suspension.
Practice · answer these from the reports, without a calculator
- How much cash should physically be in the till and safe at close on 12 July?
- If Mukwano demands full settlement tomorrow, can the shop pay without borrowing?
- Which item is closest to running out, and what should be ordered today?
- The Lake View invoice was 4,906,440 and 3,000,000 was received. Why is the outstanding balance 1,163,040 rather than 1,906,440?
Answers. 1 · 5,690,480. 2 · Yes, the bank alone holds 35,500,000 against a debt of 7,646,800. 3 · Coca-Cola, two crates left, order at least sixty. 4 · The credit note of 743,400 reduced the debt as well, and 1,906,440 less 743,400 is 1,163,040.

The month end routine
Tally needs no closing process, but a shop does. Work through this list in order on the first working day of every month, and the accounts stay trustworthy.
- Reconcile the bank. Display > Account Books > Bank Books, open Stanbic, press F5 for Reconciliation, then enter the date each item cleared. Tally shows the balance as per bank at the bottom. It must equal the statement. Chase any difference the same day.
- Count the cash. The physical till and safe must equal the Cash ledger balance. Differences go to a Cash Short and Over ledger under Indirect Expenses, never quietly into another account.
- Count the stock. Compare the physical count to the Stock Summary and post a Physical Stock voucher for the difference.
- Charge depreciation. One journal, as in entry 18.
- Empty the Suspense A/c. If anything is sitting there, you did not know where to put it. Find out now, not in June.
- Read the Outstandings. Receivables and Payables, both with ageing. Act on what is overdue.
- Extract the VAT figures and file the return by the fifteenth.
- Print and file the Trial Balance, P&L, Balance Sheet and Stock Summary. Paper survives disk failure.
- Back up. Then verify the backup by restoring it somewhere else.
Backup and restore
Path: Alt+F3 > Backup. Tally asks for a source directory (where the data lives) and a destination (where the backup goes). It writes a file called TBK900.001 plus an index. Restore is the mirror image: Alt+F3 > Restore, source is the backup folder, destination is where you want the company put.
- Restoring into the same folder as a live company will overwrite it. Restore into an empty folder first, look at it, then decide.
- A backup on the same computer as the data is not a backup. Copy it to a flash disk or cloud folder the same day. Power surges, theft and ransomware take the whole machine, not one file.
- Name backups by date, for example
RwiziFresh_2025-07-31. A folder full of files called "backup" is worthless in a crisis.
Users and rights
Turn on Alt+F3 > Alter > Use Security Control: Yes. Tally asks for an administrator name and password, then lets you define security levels under Company Info > Security Control > Types of Security.
| Level | Who | Allowed | Blocked |
|---|---|---|---|
| Owner | Mr. Tumusiime | Everything | Nothing |
| Accounts | The bookkeeper | All vouchers, all reports, alter masters | Deleting companies, changing security levels |
| Data Entry | Cashier | Create sales, receipt and contra vouchers for today only | Back dating, altering or deleting any voucher, viewing the Balance Sheet, viewing cost prices |
Two settings on the Data Entry level do most of the work. Days allowed for back dated vouchers: 0 stops a cashier quietly editing yesterday's takings. Disallow Alter and Delete means a mistake must be corrected by a visible reversing entry rather than made to disappear. Neither setting suggests you distrust anyone. They protect honest staff from suspicion just as much as they deter the dishonest.
Switch on F11 > Accounting Features > Use Tracking in Voucher Alteration and Tally records who changed what, and when. Then Display > Statements of Accounts > Statistics and the Voucher Register let you review alterations. For a business handling cash daily, this is worth switching on before the first month closes.
When it goes wrong
The nine errors beginners actually hit, and how to clear each one
| What you see | What it means | The fix |
|---|---|---|
| Tally refuses a voucher date and beeps | The date is outside the current period, or before Books beginning from | Press Alt+F2 to widen the period. If it is truly before the books start, correct that date in Alt+F3 > Alter |
| "Negative Cash Balance" warning | The till would go below zero, which cannot happen physically | Almost always a payment entered before the receipt that funded it, or a payment that actually came from the bank. Check the Cash ledger date by date |
| Balance Sheet shows no closing stock | Integrate Accounts and Inventory is set to No | F11 > Inventory Features, set it to Yes. The Balance Sheet redraws instantly |
| Gross profit looks impossible | A fixed asset was posted through the Purchases ledger, or the wrong sales price was used | Open the Purchases ledger, scan for anything that is not resale stock, and re-post it to the asset ledger |
| "Difference in Opening Balances" in the Trial Balance | Opening balances entered on masters do not net to zero | Go through the opening balances of every ledger. One is mistyped or on the wrong side. It never fixes itself |
| The sales screen has Dr and Cr columns, no items | You are in voucher mode, not invoice mode | Ctrl+V toggles between them |
| VAT amount does not fill itself in | The VAT ledger was not created under Duties & Taxes with a percentage and method of calculation | Alter the ledger and set Type: Others, 18%, On Total Sales |
| A supplier payment does not clear the invoice | At the bill allocation panel you chose On Account instead of Agst Ref | Alter the payment voucher and re-allocate it against the correct reference |
| A whole day of vouchers is missing | They went into a different company, or a different period | Check the company name in the top right panel, then Alt+F2 and widen the Day Book period to the full year |
Never hunt at random. Start at the report showing the wrong number, put the highlight on it and press Enter. Keep pressing Enter until you reach the individual voucher. The error is always in a voucher, and drilling down finds it in under a minute. Fix it there, press Ctrl+A, and every report corrects itself.
Corrections, honestly
In a training file, alter the wrong voucher. In a real business where the month has been reported or the VAT return filed, do not alter history. Post a dated correcting entry with a narration explaining what it fixes. An auditor who finds altered prior period vouchers will question everything else you did; one who finds a clear correcting entry will move on.
Assessment: record August on your own
Eleven vouchers, no screenshots, then check against the key
July was guided. August is not. Below are eleven transactions with no postings shown. Enter them into the same company, then check your reports against the answer key. Because August falls in the same financial year, Tally carries the July balances forward by itself. You do not enter opening balances.
| No. | Date | Transaction | UGX |
|---|---|---|---|
| A1 | 01-Aug | August rent paid to the landlord by cheque from Stanbic | 1,500,000 |
| A2 | 02-Aug | Bought on 30 day credit from Mukwano, invoice MKW/2025/4602: 100 jerricans of cooking oil at 88,000 and 300 bars of soap at 4,500, plus VAT | 11,977,000 |
| A3 | 04-Aug | Till sales for cash: 50 jerricans oil, 50 bars soap, 20 crates Coca-Cola, plus VAT | 7,180,300 |
| A4 | 05-Aug | Lake View Hotel settles its outstanding balance by transfer to Stanbic, against invoice RFS/INV/0009 | 1,163,040 |
| A5 | 07-Aug | Casual wages paid in cash | 900,000 |
| A6 | 10-Aug | Till takings banked into Stanbic | 6,000,000 |
| A7 | 12-Aug | Mukwano's July invoice MKW/2025/4471 settled in full by cheque | 7,646,800 |
| A8 | 15-Aug | Bought 100 crates of Coca-Cola from Century Bottling at 24,000, plus VAT, paid cash | 2,832,000 |
| A9 | 20-Aug | Credit sale to Lake View Hotel, invoice RFS/INV/0021: 45 jerricans oil and 25 crates Coca-Cola, plus VAT | 6,401,500 |
| A10 | 25-Aug | Till sales for cash: 35 jerricans oil, 15 crates Coca-Cola, 120 bars soap, plus VAT | 5,610,900 |
| A11 | 31-Aug | One month of depreciation on the shop fittings, same basis as July | 100,000 |
Before you open the key, answer these three from your own reports: how much does Lake View owe at 31 August, how much VAT must be paid to URA and by what date, and which item must be reordered before Monday.
Answer key · check every figure
| Figure | Should be |
|---|---|
| Trial Balance grand total | 98,921,620 |
| Stanbic Bank A/c | 33,516,240 Dr |
| Cash | 8,749,680 Dr |
| MTN Mobile Money Float | 50,000 Dr |
| Lake View Hotel Mbarara | 6,401,500 Dr |
| Mukwano Industries Ltd | 11,977,000 Cr |
| Shop Fittings & Equipment | 11,800,000 Dr |
| Sales A/c, cumulative | 31,309,000 Cr |
| Purchases A/c, cumulative | 28,690,000 Dr |
| Closing stock at 31 August | 2,434,000 |
| Gross profit, August only | 2,620,000 |
| Nett profit, August only | 120,000 |
| Nett profit, July and August | 503,000 |
| Balance Sheet total | 62,951,420 |
| Line | UGX |
|---|---|
| Output VAT on August sales of 16,265,000 | 2,927,700 |
| Less input VAT on August purchases of 12,550,000 | (2,259,000) |
| August net | 668,700 |
| Less credit brought forward from July | (197,280) |
| Payable to URA by 15 September 2025 | 471,420 |
Closing stock detail: oil 7 jerricans at 88,000 is 616,000; soap 180 bars at 4,500 is 810,000; Coca-Cola 42 crates at 24,000 is 1,008,000.
The three questions. Lake View owes 6,401,500 against invoice RFS/INV/0021. VAT of 471,420 is due by 15 September. Cooking oil is down to seven jerricans, which is under two days of trading at August's rate, so it is the reorder. If a figure of yours is out, drill into it with Enter rather than re-entering the month.
Written test
Ten questions on everything above. Answer all, then submit.
Three things extend what you have built, in order of usefulness to a shop. Add cost centres when a second branch opens, so you get profit per branch from the same vouchers. Add price levels to charge hotels and walk-in customers different rates without retyping prices. Add reorder levels under Inventory Info so Tally itself tells you the soda is finishing. After that, learn to export to Excel with Alt+E, because the day will come when someone wants the figures in a spreadsheet and you should not be retyping them.
